Privacy Policy

Atlas ("we", "us") provides cloud accounting software at getatlasonline.com. This policy explains what data we collect, how we use it, and the choices you have. The short version: your books are yours. We use your data to run the product for you — we do not sell it, and we do not use your accounting data to train AI models.
Data we collect
- Account data — your name, email address, and authentication credentials (managed by Google Identity Platform; we never see your password). Two-factor authentication is required on all accounts.
- Business data you enter — your chart of accounts, journal entries, customers, vendors, invoices, bills, and related records.
- Payroll data you enter — employee profiles including tax withholding elections and, where you provide them, Social Security numbers and direct-deposit details. These sensitive fields are encrypted at the application layer (AES-256-GCM) before they are stored, and full values are never returned by our systems — only the last four digits.
- Bank data via Plaid — if you choose to connect a bank account, transactions are retrieved through Plaid. Bank access tokens are stored encrypted; we never see or store your bank login credentials.
- Demo bookings — if you book a demo, your name and email are processed by Cal.com to schedule it.
- Usage and log data — standard server logs (IP address, request paths, timestamps) for security and reliability.
How we use data
- To operate the product: maintain your ledger, compute payroll, produce reports, reconcile bank activity.
- To secure the product: authentication, fraud and abuse prevention, audit logging.
- To support you: responding to questions, assisting with migration.
- We do not sell personal data, share it with advertisers, or use your accounting data to train AI models.
AI connections
Atlas lets you connect AI assistants to your books through scoped API keys you create and control. An AI connection can only read what its scopes allow (payroll access is always an explicit opt-in), it can draft documents but never post to your ledger, and every action it takes is recorded in an append-only audit log you can review in the product. Revoking a key takes effect immediately. When you connect a third-party AI assistant, the data it reads is handled under that provider's privacy terms — choose scopes accordingly.
Service providers
We use a small number of subprocessors to run Atlas: Google Cloud / Firebase (hosting, compute, identity), Neon (managed Postgres database), Plaid (bank connections, only if you enable them), and Cal.com (demo scheduling on the marketing site). Each receives only the data needed for its function.
Security
All traffic is encrypted in transit (TLS). Data is encrypted at rest by our infrastructure providers, and the most sensitive fields (SSNs, direct-deposit details, bank tokens) are additionally encrypted at the application layer. Posted accounting entries are immutable by design, and corrections leave a visible trail. Our full security program is documented internally and reviewed regularly.
Retention and deletion
We retain your data for as long as your account is active. Accounting records are, by nature, long-lived — but they are yours: you can export your data at any time (every report exports to CSV), and if you close your account we will delete your data on request, subject to any records we are legally required to keep. Server logs are retained on our providers' standard short-term schedules.
Your choices
- Export your data at any time from within the product.
- Disconnect bank feeds or revoke AI API keys at any time; both take effect immediately.
- Request access to, correction of, or deletion of your personal data by contacting us.
Children
Atlas is a business product and is not directed to children under 16.
Changes
If we make material changes to this policy, we will update the date above and notify account owners by email or in-product notice before the changes take effect.
